Job Description:
The CV Administration Coordinator will be responsible for managing all aspects of the following activities as determined by Supervisor and team Lead: Plating and registering vehicles around the country, ensuring compliance with state and local rules and regulations; Scheduling of Nissan employees and retirees for delivery and exchange of vehicles at CV Lease centers and dealers/retailers around the country; Take payment for damage to vehicles; set up payment processes for non-payroll deducted transactions utilizing CV’s Point of Sale system or Payroll deduction with approval Provide customer service and assist employees/retirees with ordering vehicles; 5) Work within CV System, eGAMS, to provide up to date and accurate information; Work within all CV and Nissan Systems to confirm and manage orders for employees and customers; Manage all Departmental vehicles going to/from auction; Manage insurance needs of CV for both Company Provided insurance and Employee Provided Insurance Manage tolling / violation collection and remittance from employees and retirees.
Job Responsibilities:
- Ensure a working knowledge and adherence to Corporate Vehicles policies, as well as any related Tax, Title, Legal requirements.
- Drive for an excellent customer service experience, answering CV mailboxes as assigned, escalating appropriately.
- Ensure eGAMS is up to date and utilized for all CV Functions (CV Fleet Management System) for the following (not exhaustive): Title and register/renew vehicle plating; tracking of vehicles; manage lessee/department; upload insurance; capture all costs associated with vehicle delivery; capture lease exchanges; temp leases, etc.
- Request titles and MCOs from the vault/storage when necessary.
- Ensure that invoices from the dealer are routed and paid properly.
- Responsible for filing and correct data into eGAMS after delivery of a vehicle is completed.
- Process invoices where reimbursement is not available, or when directly from dealer for payment.
- Have understanding of NESNA and Agero Service extended service or pre-paid maintenance programs and their relationship to CV policies and employees/retirees.. Manage vehicles in eGAMS, working with dealers across the country – responding to questions and concerns in a timely manner.
- Help assist with Out of State plating – managing and following up with requests in order to deliver vehicles on-time with the least holding period.
- Research and analysis for specific units or classes of vehicles as needed.
- Provide general administrative support, as needed. Provide testing, training and general education on eGAMS for the purposes of system upgrade or new associates as needed.
- Work with HOST (Nissan’s ordering system) to ensure that all CV Vehicles (Lease, Demo, Departmental, other) are appropriately orderd.
- Responsible for ensuring that all vehicles are ready when employees/retirees arrive and is in a Deal/Jacket or Packet. Properly and thoroughly inspects lease vehicles at return and determines appropriate level of bill-back at time of return.
- If a reject is required, explain and educate the employee/retiree.
- Must follow current Excess Wear and Tear guide as published. Inspect all new vehicle deliveries prior to delivery to ensure that all PDI and Detail requirements are met and the employee/retiree is delivered a vehicle in the best condition possible.
- Responsible for grounding and processing vehicles for auction and arranging transportation to various locations as needed.
- Ensure that CV insurance needs are met relative to both Employee provided insurance and Company provided insurance Regular monitoring of insurance compliance Work with employees and retirees for collection of toll and violation fines and fees when appropriate.
- Attend vehicle training as provided and properly explain all features, as requested to employee/retiree. Perform other related duties as requested.
Job Requirements:
- Excellent customer service attitude and interpersonal skills required for team collaboration and customer satisfaction.
- This can be both in person and over the phone/video calls.
- Strong oral and written communication skills, ability to manage complex tasks quickly, and work both independently and in a team environment.
- Ability to utilize and learn new systems quickly (eGAMS)
Qualification & Experience:
- One or more years of professional level experience in related field.
- High School diploma or GED.
- General Microsoft office Suite, with an emphasis in excel,
